Looking after your personal information

We are committed to protecting and respecting your privacy and we think it is important that you understand how we look after your personal information and how we make sure that we meet our legal obligations to you under the UK data protection rules.

Who are we?

Active Rider is an organisation based in the UK specialising in equestrian training events.

If you have any questions or comments about our privacy practices, would like to stop receiving information from Active Rider, or would like to correct or update information provided to Active Rider via its website, please contact us.

What information do we collect about you and why?

By engaging in certain activities on our site www.activerider.co.uk, or when you fill out an online form or contact us directly by mail, email or by telephone, such as booking onto an Active Rider event or requesting information or requesting us to contact you, Active Rider may ask you to provide certain information about yourself.

This information may include your name, e-mail address, mailing address, health conditions, skills, capabilities, interests, preferences, telephone numbers, names and contact number of next of kin, horse details, horse health, recent horse movements, names of other riders you would like to be grouped with at an event and any other personal identifying information.

Active Rider conducts paper based customer satisfaction surveys at all events.

Active Rider takes pictures and sometimes video/film footage. We reserve the right to publish these images/footage unless you tell us not to

We collect this information on the basis that you have given your consent for us to do so.

Depending on the circumstances, some of the information that we ask you to provide may be identified as mandatory or optional. If you do not provide the mandatory information, you will not be permitted to engage in that activity on our site, or to participate in an event.

Each time you visit our website we may automatically collect information to help administer our site, diagnose problems with our server, and to help make our site more useful to visitors such as:

  • technical information such as the type of device you are using, your IP address (which is the Internet protocol address used to connect your computer to the Internet), the type and version of the web browser you use, browser plug-in types and versions, the operating system and platform you use and your time zone setting;
  • information about how you found our website, the pages you looked at on our website and the website you visited when leaving our website (this is the full Uniform Resource Locators (URL) clickstream to, through and from the Website) including the date and time of your visit;
  • information about your visit, including opportunities, products or services that you viewed or searched for; page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page.

Cookies

Active Rider recognises concerns our customers have in reference to the use of "cookies". Some of Active Rider’ Web pages may use "cookies," which are small files that may be placed on your hard disk for record-keeping purposes. Cookies in no way give Active Rider access to your computer or any personal information about you. Rather, cookies can make your subsequent visits to the Web site simpler and more seamless. You can set your browser to notify you when you receive a cookie, giving you the chance to decide whether or not to accept it. (However, by not accepting cookies, some Web pages may not display properly or you may not be permitted to access certain information.)

Use of Personal Information

Active Rider retains your information to provide you with the services you require or request. Any information you provide to Active Rider is kept in strict confidence in a database. The information you provide us is for internal use only, and is not available to anyone outside of Active Rider, except where required to safely operate an event or as required by law.

We may also use the information we collect to occasionally notify you about important changes to our Web site, new Active Rider services, and special offers we think you’ll find valuable, including products and services of third parties. If you would rather not receive this information, just notify us by e-mail.

Who do we share your information with?

We will share your information relating only to a specific event with trusted trainers, staff, or third parties on a need to know basis e.g. when you have been scheduled to a training session or expressed an interest in meeting some of them at an event and we do this so that you can be provided with a safe and enjoyable experience.

We use a number of carefully selected third parties to supply us with products and services, such as software for managing our business, hosting our databases and collecting payment information. We also use analytics and search engine providers and Google Forms to help us improve and optimise our website. We will only share your information with our suppliers where it is necessary for them to provide us with the services we need.

We will also share your information with third parties where:

  • we are required to do so in order to comply with our legal obligations or the requirements of a regulatory authority
  • we buy or sell any business or assets in which case we may share your information with the prospective buyer or seller of such business or assets
  • we or substantially all of our assets are acquired by a third party, in which case the information we hold about you will be one of the assets acquired by the third party buyer
  • we believe, in good faith, that it is necessary to protect our rights, property, safety or reputation or the rights, property, safety or reputation of any of our customers or suppliers or partners or others.

Where is my information stored?

The information we collect about you may be transferred to and stored outside the European Economic Area (EEA). It may also be processed by staff operating outside the EEA who work for one of our suppliers.

Where we share information with our suppliers or trusted third party partners who transfer or process the data outside the EEA, we make sure that your information is protected by only transferring it to third parties who will also look after it. These third parties must provide a service that provides an adequate level of protection to your information.

How do we keep your information secure?

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website; any transmission is at your own risk. Once we have received your information, we will use procedures and security features to try to prevent unauthorised access.

How long do we keep your information for?

We only keep your information for as long as it is needed to provide you with the services you have requested or may request in the future.

Can I access my information?

Yes, you have a right to access the personal information which we hold about you by contacting our Data Protection Officer at jane@activerider.co.uk

You may also ask us to make any necessary changes to that information to make sure that it is accurate and up to date.

You may also ask us to stop or restrict our processing or delete your personal information or to transfer your personal information to a third party in certain circumstances.

What if I have a complaint?

If you have a complaint, please contact our Data Protection Officer at jane@activerider.co.uk, in the first instance, so that they can do their very best to sort out the problem

How will we notify you of changes to this privacy policy?

Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail. Please check back frequently to see any updates or changes to our privacy policy.

Disclaimer of Liability

Under no circumstances will Active Rider be liable for any damages, including, but not limited to, indirect, special, incidental, consequential or exemplary damages, that result from the use of the information or materials submitted to or collected as a result of the user's accessing the Site or use of the service provided by Active Rider, even if Active Rider has been advised of the possibility of such damages.

If any of these terms are determined to be illegal, invalid or otherwise unenforceable by reason of the laws of any state or country in which these terms are intended to be effective, then to the extent and within the jurisdiction in which that term is illegal, invalid or unenforceable, it shall be severed and deleted from these terms and the remaining terms shall survive and continue to be binding and enforceable. In case of controversy or inconsistency between translations of these Terms to other languages, the English version issued by Active Rider shall prevail.

The failure or delay of Active Rider to exercise or enforce any right in these terms does not waive Active Rider's right to enforce that right.

These terms shall be governed by and interpreted in accordance with the laws of England and Wales which shall have exclusive jurisdiction over any disputes.
